Our School is seeking a replacement for Katie Hall, who with her family is moving away from Lunenburg. Katie has been with us for five years and has been an integral contributor to the success enjoyed by our School. She will be genuinely missed by our instructors, our students, and our Board of Directors. We wish Katie and her family every success in their new community, and hope that they will pop in to see us sometime.

Job Description:

Our School is seeking a full-time Operations Coordinator to report to the Board of Directors, and to be responsible for:

Operations:

  • Assisting with the creation and execution of course/workshop schedules.
  • Scheduling, managing, and marketing course/workshop schedules, Artist-in-Residence program, the Gallery, and special events.
  • Attending and executing internal special events and courses/workshops.
  • Light cleaning of studios prior to each term and when necessary.
  • The purchase, distribution and inventory of supplies and materials.
  • Organizing and maintaining inventory, supply shelves, and storage areas.
  • Managing accounts with suppliers and researching new sources.
  • Coordinating building maintenance and cleaning, when needed.
  • Managing possible secondary employee.

General Administration and Communications:

  • Assist in registering students by phone, internet and in-person, including taking payments, issuing payment reminders and welcome letters.
  • Managing telephone inquiries and voicemail.
  • Managing email inquiries.
  • Communicating with instructors to ensure studios are equipped and ready for courses/workshops.
  • Executing marketing campaigns via e-news, social medias, the school website, and the distribution of physical marketing materials.
  • Assisting in fundraising programs, when needed.

Additional Info:

  • This position is a full-time position, Monday-Friday, 40 hours per week, with some weekend or evening hours.

Requirements:

The ideal candidate should have the following qualifications:

  • A university degree in a related field
  • Practical employment experience in a customer-facing environment
  • Familiarity and working knowledge of art materials and supplies
  • An aptitude on the Mac platform
  • Able to lift 25 pounds
  • Experience using Microsoft Word, Excel, PowerPoint, and Adobe Illustrator.
  • Social Media experience: Facebook, Instagram, MailChimp
  • Possess strong organizational and interpersonal skills
  • The ability to multi-task
  • A valid driver’s license
  • The ability to work flexible hours when needed.
